Information the website may receive

The website has no contact form, guest account or newsletter sign-up. It does not collect your name, email address or card details through the availability panel.

  • Availability choices: arrival and departure dates, and the number of adults and children. These are sent through our website server to SiteMinder to check availability. If nothing is available, nearby dates may also be checked. The choices remain in the open panel and are included in the link when you continue to the booking engine. The website does not create a saved guest record or reservation from this search.
  • Technical information: requests needed to deliver the website can include an IP address, browser information and the page requested. Our hosting and error logs may record request or error details to help operate and protect the site.
  • Website use, if you accept analytics: Google Analytics receives information about visits, including pages, page titles, device/browser information and the page URL. Reports help us understand website use. Please avoid putting private information into website URLs.

Booking through Little Hotelier / SiteMinder

Our website checks live availability with SiteMinder. To complete a reservation, you leave our website for the Little Hotelier booking engine at direct-book.com. We pass your selected dates and adult and child counts in that link; we do not pass invented child ages.

Information you enter there is handled in the external booking service. It may include contact details, booking information, payment information and other details needed to complete or manage your reservation. Elderbrook House uses the reservation information provided through the booking service to arrange and manage your stay. Card details are not collected or stored by this website.

Please read the provider’s own information about its handling of data: SiteMinder privacy policy. Its booking pages have their own cookies and privacy arrangements; our website cookie choice does not control them.

Information sent directly to us

Email and telephone links open your own email or calling service, rather than submitting a form on this website. If you contact us, we receive the information you choose to share, such as your name, contact details, proposed dates and questions about your stay. Please do not send card details by email.

Why information is used

We use information to respond to enquiries, help arrange and manage stays, check availability, operate and protect the website, and meet applicable legal and accounting obligations. Analytics is used to understand website visits only when you accept it.

The applicable legal basis depends on the purpose: taking steps you request before a booking or fulfilling a booking contract; complying with a legal obligation where one applies; and our legitimate interests in responding to general enquiries and keeping the website working securely, balanced against your rights. Optional analytics relies on your consent, which you can withdraw.

Cookies and similar technology

Cookies are small files stored by your browser. Local storage is another way a website can remember a setting on your device.

  • Necessary preference storage: the local-storage entry eb-cookie-consent remembers whether you accepted or rejected analytics. It is not used for advertising and remains until you change the choice or clear your browser storage. It is needed to remember your privacy choice rather than requiring analytics consent itself.
  • Optional analytics: Google Analytics 4 (measurement ID G-JSJ73FMTJG) loads only after you accept analytics, and only on the public Elderbrook House domains. It may set cookies such as _ga and _ga_JSJ73FMTJG to distinguish visits. These require your consent. Google documents a default expiry of two years, which can be refreshed on return visits; browser limits may shorten this. This is a cookie lifetime, not a promise about how long Google keeps information.

No advertising or marketing trackers are configured in this website. Rejecting analytics leaves the availability and booking links usable. Withdrawing consent disables further Google Analytics collection and removes the analytics cookies this site can clear; information already sent is not erased by that choice.

You can also remove cookies and local storage through your browser settings. Learn more in Google’s privacy policy.

Sharing and external services

Information is shared where needed to provide the website and your stay, rather than sold. The services identified in this website are:

  • Little Hotelier / SiteMinder: availability checks and the external reservation and payment journey described above.
  • Google Analytics: optional website measurement following consent.
  • Google Fonts: your browser requests typefaces directly from Google, which receives technical request information such as your IP address and browser details. These requests occur when the page loads, independently of the analytics choice. Google says the Fonts service does not set or log cookies; see its Fonts privacy information.
  • Lovable: the website platform. Hosting logs and error diagnostics help identify technical problems. Error-reporting hooks in the site can include the page path, error message and stack where the platform makes those hooks available. See the Lovable privacy policy.

The website’s videos are hosted media files, not embedded YouTube or Vimeo players. Maps are external links rather than embedded maps. When you follow a link to another website, its own privacy arrangements apply. External providers may process information outside the UK; their privacy notices describe their arrangements.

Retention and security

Information is kept only as long as reasonably needed for the relevant purpose and applicable obligations. We have not set out fixed retention periods here. Enquiries, reservation records, technical logs and provider-held data can have different retention needs; contact us if you would like information about a particular record.

The site uses HTTPS, and availability-service credentials are kept on the server rather than sent to visitors. We take proportionate precautions, but no website, email system or storage service can be guaranteed completely secure.

Your rights

Under UK data-protection law, depending on the circumstances, you can ask to access your personal information, correct it, erase it, restrict its use or receive a portable copy. You may also object to certain uses and withdraw consent where processing relies on it. These rights are not absolute, and we may need to confirm your identity before responding.

Email stay@elderbrookhouse.com or write to the address above with a privacy question or request. For information handled independently by the booking provider or Google, their notices explain how to contact them.

You also have the right to complain to the UK Information Commissioner’s Office: contact the ICO.

Booking and cancellation terms

This privacy notice is not a set of booking terms. The rate conditions and cancellation terms shown during booking form part of your booking; please read them before confirming. If anything is unclear, contact us before booking.

A separate complete Elderbrook House booking-terms page is still to be provided. This notice does not introduce deposit, cancellation, refund or other guest conditions.
